Maia is a private, invitation-only membership network. This policy explains what information we collect, how we use it, and the choices you have. We collect only what we need to operate the network, and we never sell your personal information. Questions: hello@maiacircle.com.
Information we collect
Application & nomination information
When you apply or are nominated, we collect the details submitted through the application — your name, email address, location, headline, field, notable achievements, what you are building or exploring next, and any links you choose to provide (such as a LinkedIn or website URL). If a current member nominates you, we collect their name, email, and the note they write in support of your nomination.
Account information
To sign in, we maintain an account associated with your email address. Authentication and password security are handled by our infrastructure provider; we do not store your password in plain text.
Profile information
As a member, you may add to your profile — a headline, biography, primary and secondary pillars, tags, location, what you are working on next, and an optional profile photo.
Network activity
We process the activity needed to run the network: introduction requests you send or receive, messages exchanged with other members, event RSVPs, and the connections formed through nominations and introductions.
Technical information
We record limited technical data such as the time you were last active, which is used to operate features like the member directory and re-engagement.
How we use information
- To review applications and operate the membership-vetting process;
- To create and display your member profile to other members;
- To enable warm introductions, messaging, and events within the network;
- To send transactional emails — sign-in links, application updates, nomination and introduction notifications;
- To maintain the security, integrity, and proper functioning of the platform.
How information is shared
With other members
Maia is a network, so some information is shared by design. Your member profile is visible to other signed-in members in the directory; it is not public, and people who are not signed-in members cannot browse the membership. When you request or accept an introduction, the relevant member sees your name, profile, and the note you wrote. Messages are shared with the member you are conversing with.
With service providers
We rely on a small number of trusted providers to run the platform, who process data only on our behalf:
- Supabase — database, authentication, and storage (data hosted in the EU region);
- Resend — delivery of transactional email;
- Cloudflare — domain and DNS;
- GitHub Pages — hosting of the public website.
For legal reasons
We may disclose information where required by law, or to protect the rights, safety, and security of Maia, its members, or others.
We do not sell your personal information, and we do not share it for third-party advertising.
Data retention
We keep your information for as long as you are a member or applicant, and as needed to operate the network and meet legal obligations. You may ask us to delete your account and associated personal data at any time.
Your rights & choices
Depending on where you live, you may have the right to access, correct, export, or delete your personal information, and to object to or restrict certain processing. You can edit much of your information directly in your profile. For any other request, contact hello@maiacircle.com and we will respond within a reasonable time.
Security
We protect information with row-level access controls, encryption in transit, and access limited to what each member and role needs. No system is perfectly secure, but we take reasonable measures to safeguard your data.
International transfers
Maia operates internationally and our infrastructure is hosted in the European Union. Where information is transferred across borders, we take steps to ensure it remains protected in line with applicable law.
Children
Maia is intended for adults. Membership is not open to anyone under 18, and we do not knowingly collect information from children.
Changes to this policy
We may update this policy as the network evolves. When we make material changes, we will update the date above and, where appropriate, notify members.
